Logistics Officer, Chalkida

The International Federation of Red Cross and Red Crescent Societies (IFRC) is the world's largest humanitarian organization, with 190 member National Societies. Title: Logistics Officer Location: Chalkida, Greece Type of Contract: Fixed Term contract

Due to the nature of the operations, Applications will be processed as they come and the position maybe filled before the above deadline.
Purpose:
To provide efficient and cost-effective support in the field of Logistics (Procurement, Warehousing, Transport and Fleet of the rental vehicles) services for the Migrant Movement Operation in Greece.

Key Responsibilities:
1. Offers proactive advice on logistics issues such as appropriate transport means, goods management and handling, warehousing, etc when required.
2. Facilitate local procurement of goods and services in Chalkida, on behalf of the field office following Spanish Red Cross (SpRC) standard practices and ensuring documentation complies with full audit trail standards and provide advice on local sourcing of goods and services required.
3. Liaise with the Administrator Delegate in Athens to obtain technical approvals for relevant requisitions and get report on the same when requested.
4. Participate in the procurement of goods and services, and render such advice as may be necessary for the proper provision of logistics support (management of administrative documentation such as budget request, provider search and identification, negotiation of conditions, payment management if required)
5. Reception and verification of delivered goods.
6. Liaise and co-ordinate with the departments/functions regarding delivery of supplies and keep all parties informed of any changes in a timely manner. Production and management of logistics documentation.
7. Enter data and maintain the online follow-up documentation and databases, regularly updating it and providing accurate and timely reports when required.

8. Coordinate with the 3rd Party Companies, suppliers and warehouses regarding the receiving and dispatch of goods to the required locations.
9. Maintain communications with the relevant departments of Federation Offices in Greece, Hellenic Red Cross offices in North and the Partner National Societies operating in the Athens area to ensure the timely and efficient response to the support requested from Logistics.
10. Organize all daily duties of drivers and vehicles according to the Fleet Management procedures and the requirement from the operation.
11. Supervise and monitor 3rd party contractors and companies when performing works or delivering services in Ritsona site if required.
12. Support any other logistics of admin functions within the Chalkida area as may be directed by the Administrator Delegate, if validated by the OpsCo or HoD.
13. Manages the working advance according to the system and instructions defined by the Admin Delegate.
14. Supports accommodation reservations and transport arrangements for new delegates in the area when required.

Duties applicable to all staff:
1. Actively work towards the achievement of the Red Cross Movement's and operation goals.
2. Abide by and work in accordance with the Red Cross Red Crescent principles.
3. Perform any other work related duties and responsibilities that may be assigned by the line manager.

Requirements for the Role:
Education
- Diploma in Supply Chain Management
Experience
- Experience in Procurement Management, Warehouse Management, Fleet Management and/or General Logistics.
- Experience in project management and multicultural teams (management)
- Previous working experience with humanitarian organisation will be an added advantage.

Languages
- Fluency in English, Greek Native or Excellent Knowledge
Skills and Knowledge
- Good office organisational and secretarial skills
- Good knowledge of Store Keeping preferably within an international humanitarian agency
- Good knowledge of fleet management preferably within an international humanitarian agency
- Good computer skills.
- Strong analytical skills and broad technical expertise.
- Driving license type for manual gearbox cars is required. Driving test will be required.
